There is a group of scraper developers working on a project called UMX that might solve part of this problem. One of the features they're looking into implementing is converting all video files into MKV and storing the downloaded artwork and metadata as attachments in the file itself. If it works, all you'd have to do is point your XBMC device at your server, and XBMC could get all the pertinent information from the files directly to populate the database (just like music software does with ID3 tags). Any changes made to the MKV file would be picked up by each XBMC device and added to the database the next time it loads.
This obviously wouldn't solve the user issue, but it's something.
